Data Collection on the Website
Server Logs
The hosting provider automatically collects information in so-called server log files that your browser automatically transmits (IP address, browser type, date/time of access). This data cannot be assigned to specific persons and is deleted after 30 days.
Cookies
Our website uses only technically necessary cookies. These serve session management and contain no personal data.
Web Analytics (Matomo)
We use Matomo, a privacy-friendly, open-source web analytics tool, to understand how visitors use our website. Matomo is self-hosted at analytics.yolu.ch, meaning your data is not shared with third parties. Matomo collects anonymised usage data such as pages visited, referrer URLs, browser type, and approximate location (based on anonymised IP addresses). You can opt out of tracking by enabling the "Do Not Track" setting in your browser, which Matomo respects by default.
Community Membership Data
When you sign up as a community member, we collect and store the following data:
- Personal data: First name, last name, email address, date of birth (optional), address (optional), country (optional)
- Membership data: Join date, membership status, role, join code used (if applicable)
- Payment data: Stripe customer ID, checkout session ID, subscription ID, payment history (amounts and dates)
- Discord data: Discord username, Discord user ID, connection status
- Technical data: IP address at signup, consent version, acceptance timestamps
This data is stored on servers located in Europe (EU/EEA). We do not transfer personal data to countries outside Europe unless required by the third-party services described below (Stripe, Discord), which maintain their own data protection standards.
Legal Basis
We process your data based on:
- Contract fulfilment (Art. 6(1)(b) GDPR / Art. 13(2)(a) revDSG): Processing necessary to provide community membership services
- Legitimate interest (Art. 6(1)(f) GDPR / Art. 13(1) revDSG): Contacting members with community news, updates, event invitations, and requests for support (financial or other contributions)
- Consent (Art. 6(1)(a) GDPR / Art. 13(1) revDSG): You consent to our terms and this privacy policy when joining the community
Communication
By joining the Colearning community, you agree that we may contact you via email for:
- Community news and updates
- Event invitations and announcements
- Requests for support, donations, or other contributions
- Important changes to services, terms, or policies
You can opt out of non-essential communications at any time by contacting us at info@colearning.org. Essential communications regarding your membership (e.g. payment confirmations, policy changes) cannot be opted out of.
Data Retention
We retain your membership data for the duration of your active membership. After cancellation, your data is kept for up to 12 months for administrative purposes (e.g. refund inquiries), after which it is deleted. Payment records may be retained longer as required by Swiss tax and accounting law (up to 10 years).
Your Rights
You have the right to:
- Access your stored personal data
- Rectify inaccurate data
- Delete your data (right to be forgotten), subject to legal retention obligations
- Export your data in a portable format
- Object to certain processing activities

Stripe (Payment Processing)
We use Stripe for payment processing. When making a payment, your payment data is transmitted directly to Stripe. We do not store credit card numbers or bank details. Stripe is PCI DSS certified and processes data in accordance with GDPR.

Discord
We use Discord for our community platform. When you connect your Discord account, we receive your Discord user ID and username. Discord processes data under its own privacy policy.

Changes to This Policy
We may update this privacy policy from time to time. Changes will be published on this page. The current version date is noted in your membership consent record.
